Client: True Bearing Built | Burlington, WA
Challenge: This mid-sized general contractor had experienced some struggles with employee satisfaction and overall organizational effectiveness related to unclear job roles and responsibilities. Some employees felt overwhelmed with tasks while others were underutilized, resulting in challenges with morale and productivity.
Support: Workproof collaborated with the owner to create detailed job descriptions for all positions, outlining specific responsibilities, required skills, and performance expectations. These descriptions also outlined peer and supervisory relationships as well as growth opportunities to ensure every employee would have a clear understanding of the context of their role within the organization.
Results: Employees appreciated having clear expectations and reported feeling more valued by the company and engaged in their work since they now knew how to contribute effectively and productively. Company leadership valued the newly streamlined organizational chart from an H.R. and hiring standpoint, and immediately recognized the benefit of establishing clear metrics for employee success.

Client: Twin Sisters Markets | Whatcom County, WA
Challenge: The board and staff of TSM were wrapping up a six-month, facilitated strategic planning process but felt they hadn’t quite hit the mark on the wording of their mission, vision, and core values. Since these elements are integrated into all aspects of the organization, from daily operations to external communications, the board decided to convene two additional worksessions to put the finishing touches on this part of the process.
Support: Since scheduling in-person time was challenging, Workproof created and implemented a series of interactive, written tools for board members and staff to gather feedback and engage in personal reflection in advance. Workproof also facilitated the worksessions to support engagement and keep participants on track with their goal of completing all of the revisions by their target deadline.
Results: TSM experienced improved internal alignment and a stronger sense of purpose among staff and volunteers because they invested the time and energy needed to fine-tune the wording and meaning of their mission, vision, and values statements. This more impactful messaging also resonated with funders and partners, and they were better positioned to measure their impact and communicate their successes to stakeholders moving forward.

Client: McAuley Design Works | Bellingham, WA
Challenge: This owner-operated building design firm was frustrated with scope creep, challenging client relationships, and delayed payments related to unclear expectations and unspecific contract terms.
Support: Workproof collaborated with the owner of the firm to create an information packet to educate new clients about the design process and set expectations about cost and timeline.
Workproof also revised their contract (prior to attorney review) to include clear payment milestones, detailed deliverables, and nonpayment clauses.
Results: Within a few months of implementing these new tools, the owner’s correspondence burden was reduced, cash flow improved, and their client relationships were strengthened due to better-managed expectations.

Case Study: Editing and Writing

Client: True Bearing Built | Burlington, WA
Challenge: This general contractor decided to onboard a new project management software platform which offered more features as well as room for future growth. Bringing on this new software also opened up the opportunity to evaluate and streamline several key internal processes during the transition. Both of these projects were integral to TBB’s growth and development, but they lacked sufficient employee capacity to carry them out in the short available time window.
Support: Workproof served as a thought partner for the company’s owner, assisting with crucial infrastructure upgrades before starting the software transition, and continued in this role throughout the onboarding process. While the software company provided its own coaching and troubleshooting services for new users, Workproof filled in the gaps, handling time-consuming data entry tasks alongside the owner and their bookkeeper, another key stakeholder.
Results: Upgrading an integral software tool can often act as a catalyst for improving other systems and processes that might have been neglected due to the inertia of the status quo. As a result of this project, the business not only successfully implemented the new, more robust software platform but also established consistent language and documented workflows for several key tasks in their early sales and pre-project administration phases.
